Privacy & Cookie Policy

Crypto Women Collective ("we", "us", or "our") values your privacy. This Privacy & Cookie Policy explains how we collect, use, store, and protect personal data, and how we use cookies, in accordance with the General Data Protection Regulation (GDPR). It covers our website, our newsletter, our events, our membership registration, and our research surveys, all run through the tools listed below.

If you are applying to join the CWC Speaker Index, a separate Speaker Index Privacy Notice applies to that specific process and takes precedence over this policy for that data, see Section 2.4.

2. What personal data we collect

We only collect personal data that you voluntarily provide to us, or that is generated by attending our events, registering as a member, or taking part in our research. We collect this across four channels:

2.1 General website, newsletter & events

• Name
• Email address
• Photos and/or video footage taken at in-person events

This data is collected when you:

• Register for an event via Luma
• Subscribe to our newsletter via our website
• Attend an in-person or online event hosted by us

2.2 Membership registration (via Tally)

When you sign up as a CWC member using our Tally intake form ("Welcome to Crypto Women Collective"), we additionally collect:

• First and last name, and email address
• Phone number (optional; only needed if you opt in to our WhatsApp community)
• Country and preferred language
• Professional background: how you'd describe yourself in crypto, your role within crypto/Web3, your organisation or project, your industry, and your experience level
• Your preferences: topics you're interested in, preferred event format and timing, your goals as a member, and whether you're open to mentoring or being mentored
• Free-text answers you choose to share (e.g. what sparked your interest in crypto, what would make CWC valuable to you)
• Your LinkedIn profile URL, if you choose to share it
• If someone referred you, the first name or handle of that person
• Your consent choices for our email list and our WhatsApp community

If you tell us who referred you, we use that name only to say thank you internally and do not otherwise process it as that person's personal data.

2.3 Crypto Adoptie Index / Crypto Adoption Index survey 2026 (via Tally)

Our Crypto Adoptie Index research survey 2026 is available in both Dutch and English, as two separate Tally forms with identical content and the same data practices. If you take part, your responses are collected anonymously; we do not ask for your name. At the end of the survey, you can optionally leave your email address if you'd like to hear about the results and receive our newsletter. This is entirely separate and optional.

The survey runs from June 2026 to October 2026, with aggregated findings expected in autumn 2026. See Section 9 for what happens to responses after the survey closes.

A combination of demographic answers (e.g. age range, country, sector) could in rare cases be indirectly identifying if very few respondents share that combination. We mitigate this by only publishing survey findings in aggregated form and never singling out individual responses.

2.4 CWC Speaker Index

If you apply to the CWC Speaker Index, the categories of data we collect, and how we use, share, and retain them, are set out in a separate Speaker Index Privacy Notice provided to you at the point you fill in that form. That notice supplements, and for Speaker Index data takes precedence over, this general policy.

3. How we use your personal data

We use your personal data for the following purposes:

• To communicate with you about events you registered for
• To send newsletters and updates about Crypto Women Collective
• To share information relevant to our community
• To promote Crypto Women Collective and future events via photos or video from past events, on our website and social media channels
• To administer your membership and tailor the events, content, and community programming we send you to your stated interests and goals
• To understand the composition and needs of our community and to produce aggregated, anonymised research and reporting (the Crypto Adoptie Index)

We do not use your data for automated decision-making that produces legal or similarly significant effects on you. Where we personalise communications based on your stated preferences, this is done manually, not through automated profiling within the meaning of Article 22 GDPR.

4. Legal basis for processing

We process your personal data based on:

• Your consent (Article 6(1)(a) GDPR), for: newsletter sign-ups, photo/video use as described in Section 5, your membership registration and the preference data you share via our Tally intake form, joining our WhatsApp community, and the optional email opt-in at the end of the Crypto Adoptie Index survey
• Our legitimate interest (Article 6(1)(f) GDPR), for: essential event administration and communication, and for conducting and publishing aggregated, anonymised research through the Crypto Adoptie Index survey

You may withdraw your consent at any time. This will not affect the lawfulness of any processing carried out before you withdrew it.

5. Photo & Video Consent

At our in-person events, photos and/or video may be taken for use in our marketing, on our website, and on our social media channels. We rely on our legitimate interest (Article 6(1)(f) GDPR) for this, as promoting our community and events is a core part of our activities, and we apply the safeguards below to limit the impact on attendees.

Attendees are informed of this at event registration. If you do not wish to be photographed or filmed, please let our team know upon arrival at the event, and we will make reasonable efforts to exclude you from published material. You may also object to this processing at any time, or request that a specific photo or video be taken down, by contacting us at contact@cryptowomencollective.com.
